The AI tools market is loud, crowded, and moving fast. Vendors are aggressive, demos are polished, and everyone claims to be exactly what your business needs. Most of them aren't.

Before you subscribe to anything, run it through these five questions. They cut through the noise quickly — and they'll save you from the expensive mistake of buying something that sounded great and delivered nothing.

1. What specific problem does this solve?

Not "what does this tool do" — what problem in your business does it solve? If you can't answer that in one sentence before the demo, stop. You're not ready to evaluate this tool yet.

A clear problem statement looks like: we spend three hours a week manually entering leads from our contact form into our CRM. A vague one looks like: we want to be more efficient with AI. Only one of those gives you a way to measure whether the tool is actually working.

2. Does it integrate with what you already use?

An AI tool that lives in isolation is a tool your team will stop using. The most valuable tools connect to the systems you're already in — your CRM, your inbox, your project management software, your calendar. Before you get excited about features, confirm the integrations exist and actually work. Ask to see them in the demo, not on the features page.

3. What does it cost to get it working — really?

The subscription price is rarely the full cost. Factor in setup time, any required integrations or custom configuration, the learning curve for your team, and ongoing maintenance. Some tools that look affordable at $50/month cost 20 hours to implement and another few hours a month to manage. That's not $50/month — that's much more when you account for your time.

The sticker price is what you pay to get access. The real cost is what it takes to get value.

4. What happens when it gets something wrong?

Every AI tool makes mistakes. The question isn't whether it will — it's how bad the consequences are and how easy they are to catch. Before committing to any tool, understand what a failure looks like. Is it a missed notification or a message sent to the wrong customer? Is the error visible immediately or does it quietly compound for weeks? Tools with low error stakes and obvious failure modes are much safer starting points than tools where mistakes are hard to detect or costly to fix.

5. Can you get out of it easily?

Vendor lock-in is real. Some tools make it deliberately difficult to export your data, migrate to a competitor, or cancel without losing months of configuration work. Before you sign up, know what leaving looks like. If your data is trapped or the exit is painful, you're not just buying a tool — you're making a long-term commitment that should be evaluated like one.

How to use this in practice

Run these five questions in order before every evaluation. If a tool fails on question one — no clear problem — don't go to question two. The questions are designed to filter fast, not to build a comprehensive scorecard.

A tool that passes all five isn't guaranteed to be worth it. But a tool that fails any one of them almost certainly isn't.

The best technology decisions aren't made by evaluating tools. They're made by understanding your business well enough to know exactly what you need — and then finding the tool that fits. Most businesses get this backwards. They start with the tool and work backwards to justify it.
